Ice Rental Cancellation Policy

Effective October 1, 2025 – Applicable Period: October 1 to March 31

Applies to:

• Minor sport in-house user groups (Block bookings)
• Other users that block off 5+ hours on a weekly basis
  

1. Financial Responsibility

Once ice times are confirmed, they become the full responsibility of the booking user group. This applies regardless of whether the ice time is ultimately used.

2. Transfers Between User Groups

A user group may transfer their booked ice time to another  user group. All transfers that are reported  to the operations manager via email cc’ing the new user for transfer confirmation ,  ice will be billed to the new user..  It’s the responsibility of the original group to ensure the ice time is used or appropriately reassigned.  If the transfer is not reported to the Operations Manager via email as per above , the original user will be financially responsible for that ice time.

3. Release of Ice Prior to Deadline

Any ice times a user group wishes to release without penalty must be submitted by email to the operations manager before the October 1st deadline. After this date, all confirmed ice times are subject to full rental charges.

4. Submission of Regular Week Start Dates

All organizations must submit their start and end dates for regular weekly ice times to the operations manager via email no later than the August 1st deadline. The organizations will be financially responsible for all ice time.

5. Transfer Reporting Requirement

If an organization transfers ice time to another user group, the transfer must be reported to the Operations Manager by email .  The new user must be copied on the email and confirm the transfer .   Once confirmed,  the new user will be billed for the ice time.

If the original user transfers ice time without notifying the Operations Manager as outlined above, the new user remains financially responsible for that  ice time, whether it is used or not .

6. Facility Event Weekends

The facility reserves the right to reclaim up to two (2) weekends or equivalent times throughout the season for special events at its discretion. A minimum of 30 days notice will be provided via email to all organizations affected by the recalled dates.

7. Payment Terms

Payments for ice rental are due within 8 days of the invoice date. If payment is not received and the account is not kept up to date, future ice bookings may be suspended or cancelled until the balance is paid in full.

8. Arena Closures Due to Weather

A decision to close or remain open will be made by the facility operations manager or general manager based on weather conditions. If the facility remains open, all organizations are responsible for their scheduled times. If the facility closes due to weather, the organization will not be financially responsible for those times. Closure announcements will be made on Hot 105.5 Storm Watch and the facility’s Facebook page.

9. Ice Rental Rates (October 1 – March 31)

Off-peak hours are before 7:00 AM and after 10:00 PM, 7 days a week.

10. Leniency for “Undesirable Times”

In-house minor sport user groups that occupy undesirable times — defined as:

• All 4:30 PM and 4:45 PM start times Monday to Friday (excluding holidays)
• All start times before 7:00 AM

…may release these times back to the facility 14 or more days before the scheduled rental date without penalty.

This release must be submitted via email to the Operations Manager via email.

11. Other Rentals – 8 day Cancellation Policy

All “ Other “ rentals , excluding in-house minor sport groups , that use under 5 hours per week , are subject to an 8 day cancellation policy . 

All cancellations must be made via email to the Operations Manager at least 8 days in advance of rental date. 

Definition of user – groups 

*In house minor sport groups include:  

• NSMHA ( North Star Minor Hockey Association  ) and all organizations under its umbrella . 
• Rustico Ringette Association 
• Matrix League 
• PEI Speed Skating 

*”Other” Rentals include but are not limited to : 

• Old-Timers league 
• Women’s Recreational League 
• Senior Women’s League 
• All Private Rentals

Effective October 1, 2025 – Applicable Period: April 1st  to September 31st

Users/ Groups booking 20+ hours of ice rental 

All users pre-booking 20+ hours of ice rental during the above listed period will be required to pay all fees associated with those rentals in full 45 days before their first scheduled ice rental, this payment is non – refundable  .  If payment is not received within that 45 day window , the facility may cancel any rentals that the user possesses at their discretion.

User/Groups booking less than 20 hours of ice rental

All users pre-booking less than 20 hours of ice rental will be required to pay in full  21 days in advance of their first scheduled ice  rental. This payment is non -refundable .  The fee must be paid before the user group can access the ice surface.

All bookings – on/or after April 1st 

Will be required to pay in full at the time of booking, this payment is non-refundable.

Rate Structure

Spring & Summer (April 1st – September 31st):

All rentals $ 226.09 + Hst = $ 260.00

When sending a payment for ice rentals, please make sure to note the name, date, and time of rental in the memo section of the e-transfer.
